Privacy and your data
In plain words: what stays on your computer, what leaves it, what the cloud keeps, how sign-in and payment are protected, and how to export or delete your data.
This guide explains how things work. The Privacy Policy is the formal statement, with the security overview and the list of subprocessors.
What stays on your computer
- The window you choose is read on your computer, with text recognition. Screen captures are never stored.
- Nothing is recorded or read until you press Start. You can pause or stop at any time. (Preview in the setup panel checks a single frame on your computer.)
- No audio or image files are written to disk.
- Saving questions, guidance and transcripts is off by default. Turn it on in Settings, and it is kept on your computer for the number of days you set.
Deleting your cloud account does not delete this data. See Saved history and local data for where it is.
What leaves your computer
Two kinds of data leave your computer, and AI Interview Assistant stores neither of them:
- The text of each AI request. AI Interview Assistant uses an approved external AI provider to process AI requests. The app sends the text of the request to the AI Interview Assistant service, which checks your plan and forwards it to the AI provider. That text is your question and the context the app includes for it: recent transcript lines, text read from the window you chose, any context you wrote, and anything you pinned. The answer streams back the same way. The text is handled in memory only, to relay it, and is not stored or logged. AI Interview Assistant does not train AI models. Pictures of your screen are not part of an AI request.
- Speech. The app sends short segments of the microphone and call audio you chose to the service, which relays them to an approved external speech provider and returns the text. When the app reads guidance aloud, its text is relayed the same way and the audio comes back. Neither the audio nor the text is stored. If speech through the service is not available, newer versions of the app use Windows speech recognition and voices on your computer instead, and then audio does not leave it. The app asks you to agree to each of these destinations before you press Start.
Call audio can include other people's voices. Use speech features only where the people you speak with have been told and, where the rules require it, have agreed. And use AI Interview Assistant only where the rules of your interview, meeting or workplace allow it. See Authorized use.
What the cloud stores
The service keeps account and operational data only:
- Your account: an internal user id, your email address and display name.
- Billing references: a billing customer id and the state of your subscription. No card data.
- Your devices: a random installation id, the name and app version of each computer you signed the app in on.
- Audit events: a record of what happened on your account (creating it, signing in, a change made to it, a request about your data) and when. For what you do on the website or in the app, it also records the IP address the request came from. The address is kept for 365 days and then removed, or sooner if you delete your account. The record that the event happened stays.
- Your privacy requests (exports and deletions) and your support requests.
- AI usage records: when a request was made, the provider and model, token counts, any allowance used and the outcome. Never the request or the answer. Speech usage is kept as monthly totals (seconds transcribed and characters read aloud), never audio or text.
- Referrals: the code of your personal link and how many people opened it and created an account through it, the payments they made and what they came to, and, if you created your account through someone else's link, the fact that you did and when. The person whose link it was sees only totals, never who you are.
The service never stores interview content, raw audio, screenshots, transcripts, prompts or guidance.
Cookies and tracking on the website
- Your website sign-in is kept in cookies your browser sends to the site. Page scripts cannot read them.
- If you open someone's referral link, the website keeps that link's code in a cookie for about 60 days so a sign-up can be credited. It is removed when you create an account.
- The website pages outside the admin console load the tracking script of Affitor, an affiliate tracking provider, to credit partners who recommend AI Interview Assistant. It stores cookies that identify your visit and the partner who referred you. When you create an account, the website sends Affitor your internal user id and your email address once. Affitor receives no interview content, audio, screenshots or AI requests. The Privacy Policy has the details (section 6).
How sign-in and payment are protected
- The app never sees your password. The app signs you in through your browser (or with a code you approve on another device), so you never type a password into it.
- Tokens. The app keeps its sign-in tokens in a file encrypted for your Windows user with Windows data protection.
- Your plan is checked offline. The app keeps a signed copy of your plan and works offline for a limited time, shown on your account page.
- Payment. Checkout and your payment method are handled on the billing provider's hosted pages. AI Interview Assistant never receives card numbers.
- In the cloud. Data is encrypted in transit and at rest, and secrets are kept in a managed secret store.
To report a suspected security problem, email support@aiinterviewassistant.com without secrets or personal data.
Export your data
You can get a copy of the account data the cloud holds about you (see What the cloud stores, plus the IP addresses logged with audit events). The data on your computer is already yours; Settings → App data locations shows where it is kept.
- Request it in the desktop app: open Account, find Your data and press Export account data. The app says "Your data export has been requested." The Account page is part of the app's paid pages, so while your subscription is inactive the app does not show it; in that case contact support.
- The service prepares the export and emails you when it is ready.
- Sign in on the account page. Under Your data, the request is listed with a Download button and the time it is available until. Exports stay available for 72 hours.
Downloading needs a recent sign-in. If the page says "For your security, downloading your data needs a recent sign-in," press Sign in again next to the message, sign in, then press Download. The file is saved as lumacoach-export.json.
Delete your account
- On the account page, go to Your data and find Delete account. (The desktop app has the same option under Account, Your data: type
DELETEand press Delete account.) - On the website, type
DELETEto confirm and press Delete my account. This needs a recent sign-in, like downloading an export. - Deletion is scheduled after a short cooling-off period, and the account page shows the date. Until then you can press Cancel deletion there and nothing is deleted.
When the deletion runs:
- An active subscription is canceled with the billing provider first, so you are not billed again. Whether any unused period is refunded follows the refund policy.
- Your email address and name are erased, and your sign-in details, devices, support requests and AI usage records are deleted.
- Some records stay because the law or accounting needs them, without your name or email: subscription and billing references (internal ids only), the record that a privacy request was made, and the amounts of referral payments and commissions (internal ids only). The billing provider also keeps the billing records it must keep. The audit log keeps that an event happened, without the IP address logged for what you did.
- You are emailed a confirmation.
Data on your computer is not touched by deleting the cloud account. The app has no button that removes it, and Clear logs deletes only the log files. Settings → App data locations shows where it is kept.
Questions about your data
Depending on where you live, you may have more rights, such as access, correction, objection and portability. To use one, send a request from the Support section of your account page with the topic Privacy, or email support@aiinterviewassistant.com.
